Your privacy matters. Gallery Note is built with a privacy-first approach — your original files never leave your device without your explicit permission, and we never sell your data or use it to train AI models.
1. Who We Are

2. What Data We Collect
We collect only what is necessary to provide the app's features:
- Photo and image content — when you use AI features (auto-tagging, OCR, color analysis), the content of your photos is sent to our processing server and forwarded to a third-party AI service for analysis. Your original files are never stored permanently on our servers or by the AI service.
- Video and audio content — when you use Speech-to-Text or video OCR, the audio or video content is sent to our processing server and forwarded to a third-party AI service for transcription. Audio is deleted immediately after processing.
- Location data (EXIF) — location metadata embedded in your photos is stripped before any file is sent to external services. No GPS or location data is ever sent to AI services.
- Date and timestamp metadata — date and time information is removed from files before they are sent to AI services.
- Notes and tags — stored locally on your device and in your secure account. Not sent to AI services.
- Usage and diagnostic data — anonymized crash reports and performance data to help us improve the app.
- Purchase data — managed entirely by Apple via the App Store. We receive only transaction confirmations, not your payment details.
3. How We Use Your Data
- To provide AI-powered features (tagging, OCR, transcription, translation, color analysis)
- To process your subscription and in-app purchases
- To respond to support requests
- To fix bugs and improve performance
We do not sell your data. We do not use your data to train third-party AI models.
To improve tagging accuracy over time, we store the tags you add, edit, or remove after AI processing. This feedback is associated with your account and used to personalize your tagging results. We may also use aggregated, anonymized feedback to improve our own tagging system over time.
To improve search relevance and tagging accuracy, we store mathematical representations (embeddings) of your photos and tags in our backend. These are linked to your account and used solely to personalize your experience within the app.
4. AI Data Sharing & User Consent
Before any photo or audio content is sent to a third-party AI service for the first time, Gallery Note displays an in-app consent dialog that explains what data is sent and to whom. AI features will not run until you explicitly allow this. You can withdraw your consent at any time in Settings → Privacy & Consent → Reset AI Consent.
The following AI features involve sending your content to third-party services:
- AI Tag — photo content is sent to Google Gemini for visual analysis and tag generation.
- AI OCR — photo content is sent to Google Gemini or Microsoft Azure for text extraction.
- Speech-to-Text — audio/video content is sent to Deepgram or Google Gemini for transcription.
- Color Analysis — photo content is sent to our backend server for color palette extraction.
In all cases, data flows through our own backend server (gallerynote-backend.onrender.com) before reaching the AI service. No location, date, or personal metadata is included in the data sent to AI services.
5. Third-Party Services
Gallery Note uses the following third-party services. Each service processes data only as needed to perform its function:

6. Audio Data
Audio and video files submitted for transcription are processed in real time and deleted from our servers immediately after processing is complete. We do not retain audio or video recordings.
7. Data Storage and Security
Your notes, tags, and processed results are stored securely using Supabase. We use industry-standard encryption for data in transit (HTTPS/TLS) and at rest. On-device processing is used for basic features wherever possible.
8. Your Rights
You have full control over your data within the app:
- Delete any data at any time — EXIF, OCR results, tags, transcripts, color analysis, or any combination
- Withdraw AI data-sharing consent at any time via Settings → Privacy & Consent → Reset AI Consent
- Request deletion of your account and associated data by contacting us at support@tltdata.com
- If you are in a jurisdiction with data protection rights (such as GDPR or CCPA), you may also request access to, correction of, or portability of your personal data
9. Children's Privacy
Gallery Note is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of the app after changes constitutes acceptance of the updated policy.
